Nashville GLBT Chamber of Commerce Hiring Executive Assistant

The Nashville GLBT Chamber of Commerce is seeking resumes for the following:
Contract Executive Assistant (part-time)

Reports to:
This contract position reports to the president of the Nashville GLBT Chamber of Commerce, or to another board member, committee chair or special event chair, as requested by the president or board of directors.

Length of contract:
The NGLBTCC Board of Directors has approved a six-month contract for a fee of $1,000 per month, $6,000 total. Contract may be extended beyond that period.

Minimum Requirements:

As the NGLBTCC will provide no work space or computer, the person must provide the equipment necessary to complete the required tasks. A high school diploma is required, with a college degree preferred. The ability to write concise and correct emails, letters and articles for the newsletter, Web site and monthly business page is required; Knowledge of  web based marketing E-mail programs (like Constant Contact) is preferred; Ability to maintain databases, mailing lists, and general word processing programs is required; Knowledge of Nashville’s GLBT community and business network is preferred.

Description of Duties

The executive assistant for the Nashville GLBT Chamber will be responsible for the following duties as part of their contract position:      

-         Carry NGLBTCC cell phone and answer calls or voice mails. Forward messages to the appropriate person.

-         Field emails received through Chamber web site, filtering through as much of the traffic as possible and forwarding only what is necessary.

-         Prepare and send welcome packets to new members. 

-         Prepare content for monthly e-newsletter including new members, upcoming activities, spotlight on business member and other content.

-         Design and layout monthly e-newsletter in Constant Contact.

-         Send out e-mail via Constant Contact on meeting reminders.

-         Coordinate logistics of membership meetings, including room set-up, name-tags, etc. 

-         Contact speakers as requested by program committee or the board of directors to arrange speaking engagements.

-         Coordinate additional networking meetings such as breakfast and lunch meetings and organize any affinity groups that may meet. 

-         Mail membership renewal letters/applications; follow up with phone calls as needed. (Time will be concentrated to renewal period of Sept-Nov)

-         Serve as coordinator for members participating in expo (Time will be concentrated to time period just before expo)

-         Keep member name badges current.

-         Keep content on web site (including calendar) up to date.

-         Assist with the planning/execution of fundraiser (Unpredictable)

-         Prepare business briefs on members and activities (promotions, job changes, new members, etc.) and submit for business page in Out & About Newspaper

-         Attending meetings as directed by the NGLBTCC president.
